Question 1
Why can't anyone find what we agreed on the call?
Because the notes live in the note taker's own app, or in an email to whoever hosted the call. Two weeks later someone needs to know what the customer agreed to, and they're digging through inboxes trying to remember which call it was.
“The notes were never the hard part. Putting them where the job lives was.”
Question 2
How do the notes get to the job by themselves?
Most note takers can send each finished meeting to another system the moment it's ready. In tech terms that's a webhook. In plain terms, the note taker taps your system on the shoulder and says "here's a new meeting." Your system then:
- Reads who was on the call
- Works out which customer and job it was about
- Pins the summary, action items and transcript to that job

Question 3
What if it can't tell which job the call was about?
Then it asks a person. The customer's email might not be on file, or two jobs might be open for the same customer, or the title just says "Quick sync."
When the system is sure, it files the notes. When it isn't, it asks. "Sure" means the attendee's email matches a contact on exactly one open job. Anything else lands in a short "needs a home" list, and someone picks the right job in one click. A meeting filed on the wrong job is worse than one not filed at all.
Question 4
Will internal calls show up on a customer's job?
No. Calls with nobody from outside your company never get attached to a job, so your Monday team meeting stays out of a customer's history. And notes are only ever shown to your team, never in the customer's view, unless you decide otherwise.
Question 5
What does it actually save me?
Copying notes doesn't take long. It just doesn't happen: the call ends, the next one starts, and the notes stay where they landed. When filing happens on its own:
- 1New team members catch up on a job by reading, not asking
- 2Arguments about "what we said on the call" end in thirty seconds
- 3Action items sit on the job, where the person doing the work sees them
